Automation · Note 03
Could a ready-to-collect text reduce status calls?
Tally status calls, then test a notification when staff mark an order ready.
Launderettes, dry cleaners, tailors, shoe and phone repair shops may receive the same status call: "Is it ready yet?"
Each call interrupts whatever you were doing. And when the answer is "not yet", the customer calls again tomorrow.
Who this is for
Any business where customers drop something off and come back to collect it.
Check it this week
- Keep a tally for three days: how many calls or messages are just "is it ready?"
- How do you record orders now: paper tickets, a book, a till system?
- Do customers leave a phone number when they drop off? If not, start asking.
An example
For example, imagine a busy Monday at a dry cleaner's: suits in from the weekend, a queue at the counter, and the phone ringing again and again with the same question. Each call takes a minute, but it also means the person at the counter waits, and the ticket you were writing up gets finished later. Those small interruptions add up across a week.
What usually fixes it
When an order is marked ready, the customer gets a short automatic text or WhatsApp: "Your order 1042 is ready to collect. We're open until 6pm today." It can also send a reminder if something hasn't been collected after a few days.
It works on fixed rules, not guesswork. Nothing goes out until a person marks the order ready, and texts go only to customers who left their number for order updates, so customers only hear what's true.
