Could your WhatsApp order flow be easier to track?
A checklist for what happens after a WhatsApp order arrives.
Plenty of small businesses already take orders on WhatsApp: the bakery doing cake orders, the butcher at Christmas, the takeaway with its regulars. It works because customers already use it every day.
The trouble starts after the message arrives. Someone has to read it, work out what was ordered, check it can be done, write it down, confirm the time and remember to follow up on payment. On a busy day, Check for missing details or duplicate handoffs.
Who this is for
Any business taking more than a handful of orders a week through WhatsApp, Messenger or Instagram DMs.
Check it this week
- Scroll back through last week's order chats. How many messages did it take before each order was clear?
- Where do confirmed orders end up: a notebook, a spreadsheet, someone's head?
- In the last month, did an order go wrong because a message was missed or misread?
What usually fixes it
Give customers a simple order form or menu link they open from WhatsApp, so every order arrives complete: item, quantity, time, name and phone. Orders land in one list. Show a receipt of the request, then confirm the order only after availability is checked. You still talk to customers on WhatsApp. You just stop retyping their orders.
None of this needs an AI guessing what the customer meant. A clear form and fixed rules do the work, and a person stays in charge of anything unusual.
